People typically print emails when the message is longer. Be concise in your business correspondence. Your message will be easier to understand, and the recipient less inclined to print it.

It takes roughly 24 trees to produce a ton of printing paper. One mature tree can release enough oxygen back into the atmosphere to support two human beings.

Dorset Business Awards Ceremony

Last night Copyrite attended the glittering Dorset Business Awards Ceremony and Dinner at the Lighthouse Poole.

Having made it to the final three in our category we were hoping to be up for some good news!
But it was not to be this time as C G Pitcher, a local building firm won the Award for Excellence in Customer Service (sponsored by NatWest)
Well done guys, congratulations from all of us here!

The event was organised by Dorset Chamber of Commerce & Industry and hosted by BBC Royal and diplomatic correspondent Nicholas Witchell.

The winners of the other categories were as follows:

The Dorset Exporter of the Year Award sponsored by UK Trade & Investment was won by Parkeon Transit Ltd in Poole.

Amanda Jenner, creator of My Carry Potty in Bournemouth, got the Entrepreneur of the Year Award, sponsored by Bournemouth University.

LV received the Business Engagement in the Community Award, sponsored by Morgan Sindall.

The Best Employer for a Healthy Workplace Award, sponsored by Nuffield Health and Bournemouth Hospital, was won by Julia’s House in Poole.

Farrow & Ball Ltd in Wimborne received the KPMG Company of the Year Award.

Creative Company/Project of the Year Award, sponsored by The Arts University College at Bournemouth and Liz Lean PR, was won by Christchurch Food and Wine Festival

The Linking with Schools Award, sponsored by the Borough of Poole and Bournemouth Borough Council, was won by X-Leisure (Poole) Ltd, Tower Park Entertainment Centre.

The Princecroft Willis Family Business Award was won by The Hive Beach Cafe, Burton Bradstock.

The Innovative Technology Award, sponsored by Dorset Chamber of Commerce & Industry and PH Warr plc. was won by AmSafe in Bridport.

Meet The Finalists

Copyrite's Phil Ford attended the Dorset Business Awards 'Meet the Finalists' event at the Guildhall on Poole Quay on wednesday evening (24/11/10). (you can just see him hiding to the right of the centre!)
It was a chance to see who we are running against, and a great opportunity to meet all the finalists in the other catagories!
It was really fantastic to see representatives of so many great local businesses together in one room, and great to think there are so many other businesses who work to similar principles.

Many people find that emailing the electronic files afterwards is just as effective. If you do need handouts, make sure to print in 'handout mode'. It is easier for your audience, and better for the environment.

4 days of Ladies Golfing resulted in Yani Tseng winning the tournament

Building contacts and developing reciprocal business relationships has been the cornerstone of commerce for decades and is the main principle behind the British Chamber of Commerce. Local companies, Poole based recruitment agency, Jobshop UK, and Wimborne based total office technology company, Copyrite Business Solutions, have been implementing their reciprocal business understanding since 1997, an arrangement that has proved beneficial to both organisations.

How Secure is Your Data?


It is common knowledge that computers store information on hard disk drives.

What we must also be aware of is that many of our printers, multifunctional printers and copiers may also use hard disks that record and store data. It is the data that remains on these hard disks once you have disposed of the equipment that could pose a security risk.

Security of data is a legal requirement under the UK’s 1998 Data Protection Act. This requires us to ensure the complete removal of all data from redundant equipment which is essential if we are to maintain the security and integrity of data. Failure to comply could result in a £500,000 fine or even a prison sentence.

So what security options are available for these hard drives?

Below is an overview of options available to those of us who identify concerns related to hard disk security on MFPs and printers. These options address security issues during the equipments service life and at the time of return.

Data Overwrite Security System (DOSS):
DOSS overwrites the sector of the hard drive used for data processing after the completion of each job. During the overwrite process, all data is destroyed to prevent recovery. Additionally, DOSS also offers the option of overwriting the entire hard drive up to eight times. This feature may be used at the end of the lease or if the device is moved to another department. Overwriting the entire hard drive takes a few hours and can be added before or after the initial sale.

Hard Drive Encryption Option:
This option provides security for information that needs to be stored on the MFP or printer and used again. Examples of information that may need to be stored for reuse include administrator and user passwords and address books. The Hard Drive Encryption Option differs from DOSS in that the information encrypted is not destroyed, but locked up so only authorised users may access the information. DOSS destroys data so it cannot be reused. The Hard Drive Encryption Option and DOSS may be used in conjunction and will not interfere with MFP or printer operation.

Hard Drive Surrender at Lease-End/Trade-in:
Copyrite is able to offer customers a hard drive surrender option with which customers may elect to have our technicians remove the hard drive from the device and leave it in the custody of the customer before the equipment is removed from the site. Customers then have the discretion to maintain or destroy the hard drive.

Help! I think I've lost it!

These days it makes no difference what industry you work in, we are all governed by many rules and regulations that are sometimes changed on a weekly basis by many of the governing bodies.
Most businesses have to keep paperwork for at least 7 years, some information for a lifetime, this information continues to grow and become less and less manageable.
Some companies invest in off-site storage, this results in an on-going cost and also has a retrieval cost attached to YOUR information.
Other smaller businesses end up having to use a third bedroom or garage as a form of storing their client’s confidential files!
One of the main objections that I receive from potential customer’s is the fact that they trust paper, they have been using paper all of their lives, they know where they left that piece of paper; they can physically touch that piece of paper.

If this is how you feel, answer the following questions:

  • What if you experienced a disaster in your office, maybe a fire or flood, how would you deal with that loss of information?
  •  What if a client contacted you and asked for a letter that they sent 4 years ago, it is not in their file and you have no way of finding it?
  •  What if your regulatory body contacted you and wanted to perform an audit but the information you keep is not stored or structured in the legal manner?
  •  What if a previous client was threatening to take you to court – would you really be able to lay your hands on the originals of all documents?

Case Study: London Virtual Offices & Vicarage House Business Centre

These two key brands of Vicarage Management represent leadership in Serviced Offices in the prestigious Kensington district of London.
Established in 1989 and servicing over 100 clients, Vicarage Management offers suites and services in a carefully restored period building.

Business Challenge:
The business developed a strategy for growth that revealed the requirement for a technology plan and its successful implementation.

Copyrite Sponsors Business Award launch Ceremony

The date for the sought-after Daily Echo backed Dorset Business Awards 2010 has been set.

And it will be announced at an official launch ceremony sponsored by Copyrite, the photocopier specialist in Wimborne, at Kingston Country Courtyard near Corfe Castle at noon on Thursday, June 17.

This year’s award categories will be revealed at the event.

Dorset Business chief executive Peter Scott said that the awards recognise outstanding organisations in the county.

Paris Smith LLP case study - A Technology Architecture for the future

Paris Smith LLP is a law firm with a clear vision of the future. A firm that adapts to the ever increasing demands and pressures on businesses and individuals. We are pleased to announce that we are the main sponsor for the Dorset Business chamber of commerce 'Shoot 4 Business' Corporate 5-a-side Tournament!

This unique Dorset Business event takes place on the 21st May at AFC Bournemouth and is raising money for the charity LEAF (Leukaemia Educating and Fundraising) which is based in Wimborne

The work of Leaf is carried out on a volunteer basis and all the money raised goes to the charity where it is divided between holidays, days out, hospital study courses and Leukaemia Research Fund.

Three Peaks Challenge in aid of Tenovus

On 12th & 13th June a group of us from Copyrite and some friends will be attempting the Three Peaks 24 hour Challenge once again! (we did it 2 years ago in 25 hours and 21 minutes)

For those that don't know the idea is to walk the three highest peaks in the UK, Ben Nevis, Scafell Pike and Snowdon within 24 hours including the travelling between.

We need to raise £1600 in total so if you would like to sponsor us a justgiving page has been set up at

"£40 Million a day wasted"
The survey, commissioned by INVU and completed by YouGov, quizzed 858 managers and directors of small businesses across the UK.
It found that time and money is being wasted by looking for documents that have been lost, moved or mis-filed, with 80% of managers and directors wasting up to one hour a day searching, costing £88 per person on average.
Almost a quarter of those surveyed have already implemented a digital document management system; they agreed that this solution enabled them to look for or search through archived documents quickly and easily.
